1. Who We Are

This Privacy Policy applies to Delegatr, an application operated by Treequence Inc. and made available at https://delegatr.io (the “Service”).

Delegatr is an AI-driven asynchronous communication and scheduling layer that lets consumers reach a business in plain language and get an appointment booked without phone calls, hold times, or back-and-forth email.

2. Data We Access

2.1 Google user data

When you choose to connect a Google Account to Delegatr, and only after you grant consent on the Google consent screen, Delegatr accesses the following Google user data:

Google Calendar free/busy availability
The times your calendar shows as busy, without event titles, descriptions, locations, attendees, or any other event details. Used to determine when you or your business are genuinely open, so Delegatr never offers a time that conflicts with something already scheduled.
Appointment events created by Delegatr
Delegatr creates, updates, and cancels only the calendar events that correspond to appointments booked through the Service, and stores the identifier Google assigns to each of those events so it can update or cancel it later. Delegatr does not read the other events on your calendar.

Delegatr requests only two Google OAuth scopes: permission to manage events on calendars you own, which it uses solely for the appointment events it creates on your primary calendar, and permission to view free/busy availability. We do not request your Google Account profile or email address, and we do not request access to Gmail, Google Drive, Google Contacts, or any other Google service.

Businesses may instead connect Microsoft Outlook, Apple Calendar, Square Appointments, Acuity Scheduling, Calendly, or Cal.com, and consumers may connect Microsoft Outlook or Apple Calendar. For these providers Delegatr accesses the same kinds of data, availability and the appointments it books, through the credentials or authorization you provide, and uses it only for the scheduling purposes described in this policy. Credentials such as access tokens and app-specific passwords are stored encrypted and are deleted when you disconnect the provider or switch to a different one.

2.2 Information you provide directly

  • Account details such as your name, email address, and password credentials.
  • Business profile details such as your services, hours of operation, booking rules, and intake questions.
  • The content of scheduling conversations you have with the Delegatr agent.
  • Billing information for paid accounts, and payment cards that consumers save to hold an appointment, processed by our payment provider, Stripe. Delegatr does not store full payment card numbers.

2.3 Information collected automatically

We collect standard technical data required to operate and secure the Service, including IP address, browser and device type, and timestamped logs of requests made to the Service. This data is used for security, abuse prevention, debugging, and reliability, and is not combined with Google user data for any purpose other than delivering the Service.

2.4 Cookies and product analytics

Delegatr uses cookies that are necessary to keep you signed in, protect forms, and remember your session. We also use PostHog, a product analytics provider, to understand how pages are used and to find and fix problems. PostHog may record page views, clicks, and session replays of how you move through the Service. Form fields are masked in replays, and inside the dashboard and account pages on-screen text is masked as well, so replays do not capture the content of your conversations or customer details. When you are signed in, analytics events are associated with your account so we can support you. Analytics data is never used for advertising and is never combined with Google user data.

3. How We Use Your Data

Delegatr uses the Google user data described above solely to deliver the scheduling features you asked for. Specifically:

To check real availability

Delegatr reads the free/busy windows on your connected calendar so it can tell which times a business is actually open, and so it never offers a slot that conflicts with something already scheduled.

To propose appointment times

Delegatr cross-references the stated availability of a consumer against the calendar and booking rules of a business in order to propose a small number of times that work for both sides.

To create and manage calendar events autonomously

Once an appointment is agreed, Delegatr creates the corresponding calendar event on behalf of the user or business that authorized it, and updates or cancels that event if the appointment is rescheduled or called off. This action is taken autonomously by the Delegatr agent within the authority you grant when you connect your calendar.

We do not use Google user data for advertising, for building marketing profiles, or for any purpose unrelated to the scheduling functionality described in this policy.

4. Limited Use Disclosure

Google API Services User Data Policy

Delegatr's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

The full policy is available at https://developers.google.com/terms/api-services-user-data-policy.

5. AI and Machine Learning

Delegatr uses AI models to interpret scheduling conversations and to negotiate appointment times. Those models are used only to serve the individual request in front of them, at the moment you make it.

Affirmation

Delegatr explicitly affirms that data received from Google Workspace APIs is not used to develop, improve, or train generalized or non-personalized AI and/or ML models.

We do not permit our third-party AI providers to train their models on data Delegatr transmits to them, and we do not retain Google user data for the purpose of model development of any kind.

6. Storage, Retention, and Security

All data handled by Delegatr, including all Google user data, is encrypted in transit and encrypted at rest. Data in transit is protected using TLS. Data at rest is protected using industry-standard encryption, and OAuth tokens are stored encrypted and are never exposed to other users of the Service.

We apply additional safeguards including access controls that limit data access to the personnel who need it to operate and support the Service, network isolation of production systems, audit logging of administrative access, and regular review of our dependencies and infrastructure.

We retain Google user data only for as long as necessary to fulfill the scheduling purpose for which it was collected, or for as long as your account remains active. Free/busy availability read from your calendar is used to evaluate a scheduling request and is not stored. Delegatr stores only the identifiers of the appointment events it creates, for as long as it needs them to update or cancel those appointments.

When you disconnect your Google Account, or when you delete your Delegatr account, we revoke the associated OAuth tokens and delete the associated Google user data from our production systems. Residual copies may persist in encrypted backups for a limited period before being overwritten on our normal backup rotation. We may retain a minimal record of a transaction where we are required to do so by law.

No method of transmission or storage is perfectly secure. While we work hard to protect your information, we cannot guarantee absolute security.

7. We Do Not Sell Google User Data or Consumer Personal Information

Delegatr does not sell, rent, or trade consumer personal information or Google user data to third parties.

We do not transfer Google user data to data brokers, advertising networks, or any other party for the purposes of advertising, resale, or profiling. Our commercial API and routing infrastructure are strictly used to facilitate the authorized scheduling of appointments and do not entail the sale of underlying Google Workspace data.

8. When We Share Data

We share information only in the following limited circumstances:

  • To complete a booking you requested. Appointment details are shared between the consumer and the business involved in that specific appointment, which is the entire point of the Service.
  • With service providers. We use vetted subprocessors for hosting, transactional email, payment processing (Stripe), product analytics (PostHog), and AI inference. They may process data only on our instructions, only to provide their service to us, and are bound by confidentiality and data protection obligations consistent with this policy and with the Limited Use requirements.
  • For legal reasons. Where we are required to do so by applicable law, legal process, or a valid governmental request, or where disclosure is necessary to investigate fraud, protect our rights, or protect the safety of any person.
  • In a business transfer. If Delegatr is involved in a merger, acquisition, or sale of assets, your information may be transferred, subject to this policy continuing to apply. We will notify affected users before their data becomes subject to a different privacy policy.

9. Your Rights and Controls

You remain in control of the data you share with Delegatr.

  • Revoke calendar access at any time. You may disconnect your calendar from within your Delegatr settings, or revoke access for Delegatr directly from your Google Account at https://myaccount.google.com/permissions.
  • Access and correction. You may review and update your account information at any time from your Delegatr settings.
  • Deletion. You may delete your Delegatr account, which removes your associated data as described in Section 6. You may also request deletion by contacting us.
  • Portability and objection. Depending on where you live, you may have additional rights to obtain a copy of your data or to object to certain processing. Contact us and we will honor requests as required by applicable law.

Revoking calendar access will stop Delegatr from reading availability or managing events on that calendar, and will disable the autonomous scheduling features that depend on it.

10. Children’s Privacy

Delegatr is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected such information, we will delete it promptly. If you believe a child has provided us with personal information, please contact us.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. If we make a material change to how we handle Google user data, we will provide prominent notice within the Service or by email before the change takes effect. Your continued use of Delegatr after an update means you accept the revised policy.
